The Yale School of Medicine will be migrating all YSM user’s Yale BOX and Secure BOX accounts to OneDrive starting February 20, 2026 at 5:00pm.
We have 7,612 Yale BOX users at YSM with over 460,000 GB of data to be migrated. The migration process will run until it is completed.
The amount of data and the number of files in each YSM Yale BOX account determines the time it takes to migrate a users Yale BOX account. To maximize the total number of users migrated in the shortest period of time we have divided the YSM Yale BOX accounts into 6 migration phases.

There are 5 YSM users with more than 4,000GB in their BOX accounts. This totals more than 280,000 GB of data. These individuals have been contacted directly and will manually migrate their files.

| What happens to my Yale BOX account after migration? |
Your Yale BOX account will be set to “Inactive” once the files are migrated from Yale BOX to OneDrive, and we verify there were no errors during migration. Once the account is set to “Inactive” you will not be able to access your Yale BOX account - this is to prevent accidental modifications of the same document in two places by you or anyone you have shared documents with in BOX. You can have your Yale BOX account restored to “Active” by calling the Yale ITS helpdesk at 203 432-9000. However, you will be responsible for archiving or migrating documents in your Yale BOX account once it is activated again. We will not migrate your files for you. |
| Why are we migrating all users at once? | There are 89,000 collaborators in the YSM Yale BOX accounts, we need to move everyone to OneDrive in one migration so users can continue to collaborate with each other in OneDrive |
| How will I know when my files have been migrated? | As files migrate to OneDrive, they will appear in your OneDrive account. You can start accessing those files immediately. |
| Where will my files and folders from Yale BOX show up in OneDrive? | The file and folder structure in your Yale BOX account will appear the same in your Yale OneDrive account. If you want your Yale BOX files and folders to be in their own folder in OneDrive, then you need to move those files and folders in your Yale BOX account into a folder first. |
| How accurate or safe is this migration process for my files? | The migration utility we use does a total file byte checksum ensuring that the file is completely copied and has not been altered. ITS has been using this migration tool for years and has migrated thousands of users without any files being corrupted or lost in the process. If for some reason you feel a file was impacted by this migration, we will still have the original file in your Yale BOX account as a archive. |
| Is there anything I have to do to prepare for the migration of my files? | No, this migration will start automatically. We do ask that you refrain from accessing files in your BOX account during the migration window. If you need to access files, please copy those to a local drive prior to the migration. During the migration process, we will be updating the migration status above so you0 will know when your phase has started. |
| What will happen to the sharing of files that I have setup? | Files and folders you are sharing in your Yale BOX account with others with a Yale.edu e-mail will be recreated in OneDrive by the migration software we use. If you are sharing a file with someone who has a non-yale e-mail address, that sharing will need to be recreated in OneDrive after the files are migrated. |
| If I am a co-Owner of a file that is shared to me, will it migrate with my account? | No, only files you share from your Yale BOX account will be migrated. If someone else has shared a file to you (even if they made you a co-owner) it will migrate with that user. |
| What if someone is sharing a file with me who is outside of YSM but within Yale? | If someone else is sharing a file with you who is outside of YSM but at Yale, you will need to coordinate with them prior to the YSM migration to maintain access to the files. YSM is one of the last groups to be migrated so this should not be an big issue. We recommend the person who is sharing the file, move those files to OneDrive to maintain sharing. |
| What if someone is sharing a file with me who is outside of Yale? |
If someone is sharing files with you via BOX who is outside of Yale - when we migrate your Yale BOX account to OneDrive and set your Yale BOX account to “Inactive”, you will not be able to access those shared files. To restore access to your Yale BOX account you can call the ITS helpdesk at (203) 432-9000. However, when Yale BOX is retired at the University (March 31, 2026), you will lose access to your Yale BOX account and those shared files. We highly recommend that you find alternative sharing methods for files shared to you by people outside of Yale. We recommend the person sharing files with you use OneDrive or Teams to share files with you. After we migrate your BOX account, you can still access your files, but once Yale BOX and Secure BOX is retired on March 31, 2026, you will not be able to access these files via BOX. |
| Will my Yale BOX files be deleted after they are migrated to One Drive? | No, your Yale BOX and Secure BOX files will not be deleted. However, your Yale BOX and Secure BOX account will be set to “Inactive” to prevent duplicate file edits. |
| Can I still get into my Yale BOX account after it has been locked? | Yes, you can request access to your Yale BOX and Secure BOX accounts by calling the Yale ITS Helpdesk at (203) 432-9000 |
| If I want to move my files earlier, can I do that? | Yes, you are welcome to move your Yale BOX files at any time. |
| What if I do not want my Yale BOX files migrated. |
If you do not want your Yale BOX files to be migrated, then you should delete ALL your files in Yale BOX prior to the YSM migrations - see above for schedule. Please note: When Yale BOX is retired on March 31, 2026 - the vendor will delete your files. To delete your files in BOX - it is a 2 step process: Step 1: In Yale BOX, click on the selection box to the right for all files and folders and then click on the “Trash” button. This moves the files to the trash but does not delete them. Step 2: Go to the “Trash” folder in Yale BOX on the left and then click the “Delete All” button. This will delete all files in the trash. | What if I have folders or files with the same name in my OneDrive account? | Folders and files migrated to OneDrive will have their file or folder name appended in OneDrive to indicate that it is a copy. |
| I have protected health information in my Secure BOX account, is OneDrive able to handle high risk data files? |
Yes, OneDrive is an acceptable location to store high risk data files. It has the same security safeguards as Secure BOX. OneDrive uses a shared responsibility model meaning it is OK to put High Risk data in OneDrive, but if you accidentally share that high risk data to someone, the responsibility of that action falls to you. |
| Does OneDrive have a “Secure OneDrive” version like BOX and Secure BOX? | No, OneDrive is acceptable for high-risk data, so there is no separate OneDrive version for high risk data. |
| Does OneDrive sync to my local computer like Yale BOX? | Yes, OneDrive syncs to your local computer just like BOX. |
| What do I do if I do not have OneDrive and/or is not setup on my computer(s)? | Every Yale employee (Faculty, Students, and Staff) has a Yale OneDrive account. If you need OneDrive setup on your computer(s), please call the Yale Helpdesk at (203) 432-9000. They can assist you with this. |

Why does the number of files in your Yale BOX account impact the overall time it takes to migrate those files:
The utility initiates a move command on a per file basis. This utility indexes each file, it copies each file and then verifies that each file has copied. If you have thousands of small files, this check and double check of each file slows down the overall migration efficiency.
One hundred 1 megabyte files will take significantly longer to copy than a single, 100 MB file.

Microsoft Limitations:
There are two limitations we can run into when we migrate files from Yale BOX to OneDrive. They are listed below. We find that these limitations will impact a very small number of users - less than 1%.
We recommend that you do not try to remedy these issues before we attempt to migrate your files. Instead, if the migration software comes across these restrictions, it will simply skip the impacted files, and the migration process will continue. We will share with you a detailed report with remediation instructions for the impacted files, and folders in your account.
You can also call the ITS helpdesk at (203) 432-9000 for further assistance. For users with skipped files and folders, we will not lock your Yale BOX account. This will give you time to correct and self-copy these files.
